A practical checklist to help you choose the right hats, confirm quantities, and plan delivery before your event.

Plan Your Event Hats with Confidence

Your first event hat order starts with a few practical questions: who needs a hat, how many should you order, and when do they need to arrive?

Whether you are organizing a fundraiser, an outdoor gathering, or a volunteer crew, a clear plan makes the choices easier. Start with the people and the schedule, then choose a hat and design that fit the occasion.

Use this checklist to work through the details before you approve your order.

Start with a Headcount and a Budget

Separate the people who definitely need a hat from those who may receive one as a giveaway. Count staff, volunteers, and organizers first. Then decide whether every guest will receive a hat or whether giveaways will be limited.

  • Confirm your staff and volunteer roster.
  • Decide how many guest hats or giveaways you want.
  • Add any extras you need for late additions.
  • List different colors or designs separately for review.

For example, 18 volunteers, 6 organizers, and 6 planned extras add up to 30 hats. This is a planning example, not a required order breakdown.

Oh My Hats orders start at 20 hats. Your quote includes customization, with no hidden setup fees, and shipping is free. Check the total for your actual style and quantity. The maximum 60% bulk discount applies to orders of 2,000 hats or more.

Choose a Hat That Suits Your Event

Think about the setting, the season, and how people will wear the hats. A hat used to identify an event crew may serve a different purpose from a keepsake handed to guests.

Custom Printed Trucker Hats

For volunteer crews and community events

A mesh back and curved brim give this style a casual look. A short team name or clear event logo on the front can help create a coordinated crew outfit.

Keep the lettering easy to read and confirm the available fit and closure before ordering.

Custom Printed Bucket Hats

For festivals, camps, and outdoor gatherings

A relaxed bucket shape and all-around brim can fit an outdoor event theme. Use a simple logo or event illustration to create a coordinated giveaway.

Check how your design sits on the curved front, especially if it includes several lines of text.

Custom Patch Beanies

For winter markets and cool-weather events

A cuffed knit beanie suits a cooler-season outfit. A separate logo patch adds defined edges and dimension to a team design or seasonal gift.

Check the Artwork Before You Approve It

Upload a clear JPG or PNG file no larger than 5MB. Include your exact wording, preferred hat color, and requested placement. Use a clean original file when available rather than a blurry screenshot.

Printed designs go directly onto the hat fabric. Patches are separate pieces attached to the hat. Confirm which finish you are ordering before reviewing the mockup.

1.Check event names, dates, and spelling.

2.Review logo size, contrast, and placement.

3.Confirm the hat color and decoration method.

4.Make sure the quantity and design version are correct.

Your free digital mockup is a visual preview, not a physical sample. If several people need to approve it, collect their feedback into one clear response.

Allow Time for Both Production and Shipping

Choose the date you need the hats in hand, allowing time to count, sort, or pack them before the event. Share this date before ordering so the schedule can be reviewed.

Production: 7–20 business days after you approve the design and complete payment.

Shipping to the United States: an additional 7–20 business days after production.

Allow extra time for design review and revisions. These ranges are planning estimates, not a guaranteed arrival date, so avoid planning around the shortest possible timing.

Prepare for Delivery and Distribution

Confirm the shipping address and who will receive the order. Once the hats arrive, count them and compare the designs with your approved order before sorting them for your team or guests.

  •  Check the quantity and overall condition.
  • Separate hats by team or distribution point.
  • Keep extras together so they are easy to find.
  • Store the order details where your organizer can access them.

One Last Check Before You Order

Make sure your headcount, hat style, colors, artwork, quote, required arrival date, and delivery details are all settled. A clear order brief and a carefully reviewed mockup make your first event hat order easier to manage.
